Process for Incorporating Feedback from the Division of Extension into CALS Promotion Steps

The Extension Governance and Funding Model Work Group Governance made recommendations on incorporating feedback from the Division of Extension into promotion and review processes which were approved by the Provost. This document describes the process by which that feedback will be incorporated for each stage.

Overview of Expected Cases

Each fall, the CALS ADFA will provide an overview of expected cases in each of the categories below. This overview is based on default timelines, with added resolution when provided by department chairs. For Tenure and promotion to Professor dossiers submitted prior to the default year, the list may not perfectly reflect the cases submitted as there are dynamic factors that influence final decisions to submit promotion documents.

PTRs

Process:

  • The PTR will be shared with Extension, and a letter will be requested by Dawn/Heather upon receipt of the PTR document.
    • The letter will be requested with a 2-to-4-week timeline when done on a rolling basis (flexible if needed until the final deadline approaches).
  • Letters are provided to the Dean for consideration during review. A synopsis of the Extension review letter will be incorporated into the CALS memo along with the feedback from CALS.

Tenure Dossiers

Process:

  • The full dossier will be shared with Extension by Dawn/Heather upon receipt to the College with a 2-week timeline.
    • Given that we only have a 4-week timeline to review, this is a hard deadline.
    • This point of requesting a letter is key because it will allow the inclusion of the “arms-length” chair and mentor committee letters, which would not be included if done earlier in the process.
    • CALS will conduct a concurrent review. We will give initial and substantive feedback on the format, etc., so the final version may differ slightly from what is submitted to Extension.
  • Extension will submit a letter to the Dean for consideration. If the Division of Extension agrees with the departmental assessment their letter will be brief and indicate concurrence.
  • When the ADFA provides CALS feedback to the chair, the Extension letter will also be included so that it can be incorporated into the tenure dossier per Extension Input policy section 1.3.
    • The letter should be included after arm’s length letters and identified as “Input from the Division of Extension, University of Wisconsin-Madison” and should be appropriately bookmarked.

Promotion to Professor

Process:

  • The full promotion document will be shared with Extension by Dawn/Heather upon receipt to the College just after the February 1 deadline, with a 2-week timeline.
    • Given that the promotion committee only has a 4-week timeline to review, this will also be a hard deadline.
    • Concurrent with the Extension review, the promotion to full professor committee will be reviewing the document. The Extension letters will be provided to the committee prior to the review discussion for reference. If the Division of Extension agrees with the departmental assessment their letter will be brief and indicate concurrence.
    • The Dean will consider the Extension letter, together with the committee’s recommendation, when making the final decision.

Third Year Reappointment, Pre-tenure

Process:

  • The college strongly encourages departments to provide relevant materials and the mentor committee letter, to the Division of Extension prior to departmental vote on reappointment. Although not included in the working group document, the goal of this is to have an open conversation about the new faculty member’s extension efforts and ensure they are in alignment with college and extension missions. This feedback should be provided as a letter from the Division of Extension that can be shared with the recommendation from the department.
