    Reporting Requirements for CALS Extension Faculty and Staff

    Every year, faculty and staff need to report on extension and outreach events. Our federal funding partner, USDA/NIFA, requires that we collect data on ethnicity, race, and gender. We also collect participant age information.

    When to Report

    To be sure all participation events are captured, enter the events right away in the CALS faculty success tool. The full report is due January of every year.

    What to Report

    Events

    For your event, it should answer the who, what, when, where and why questions. Title/Name of Event (include type of education, topic, and audience: Example: Farm Succession Webinar, farm managers and their families). Demographic data will also be required.

    Complete event records for all efforts that were educational and reached audiences outside the UW System and contained an intentional interaction.

    • In-person/phone/email consultations and office visits which are educational in nature.
    • Targeted newsletters (to mailing lists) or other targeted distributions that contain educational content.
    • Do NOT report if content is purely promotional.  Do NOT report on efforts involving internal audiences (within the UW).
    • For events which are part of a series, only enter once and reference the number of series.

    Activities

    This section is for you to provide an overview or summary of your Extension and outreach activities and how they fulfill the Wisconsin Idea. Specific Extension and outreach event details can be recorded on the Extension and Outreach Events Screen.

    Efforts which are reached by YouTube, website views, radio interviews and newspaper articles can be reported as part of your activities/WI Idea.

    Additional Reporting Efforts

    For efforts which require registration and sign-up, you need to collect demographic data of the participants. Here is an Extension and Outreach help document of what is required.
